Privacy Policy

The Company is concerned and committed to protecting and maintaining the privacy of all its Users and has published this privacy policy statement (the “Privacy Policy” or “PP”) to familiarize You with the manner in which the Company collects, stores, uses, discloses, alters, and/or deletes Your personally identifiable information (“PII”) collected during your usage of Signeasy. Any capitalised terms used but not defined in this PP shall have the meaning ascribed to such term in the Terms and Conditions given above.


1.1.   The purpose of this is to ensure that:

  • (a) You are aware of and have complete control over what PII you provide to the Company, and how the same is being used by the Company while providing you with our services;
  • (b) You are at all times aware of the rights available to you with respect to your PII;
  • (c)  The information provided by Customers on the Platform is processed, stored, and used in accordance with the applicable laws, including with respect to maintaining appropriate data protection and privacy infrastructure.

1.2    We insist upon the highest standards for securing Customer data and maintaining customer information privacy.

Information We Collect

2.1.    We have already specified (under points 4 and 5 of the ToS) the kind of information (PII and otherwise) that we require, collect, access, and store during the period of account creation and thereafter during your usage of Signeasy. This includes both information pertaining to you as well as information pertaining to third-persons/entities to whom you send Documents. Further, we have also clarified that it is necessary and mandatory for us to be able to collect/store all of this information for you to be able to use Signeasy and its basic features. You have the right, at any time, to choose not to provide us with any of this information and to ask us to delete the same, if required. However, doing so will result in your subsequent deletion of your account and the inability to continue using any part of Signeasy.

2.2   Cookies: Cookies are pieces of information that are stored on Your computer when the You accesses the Platform. The Platform may use temporary cookies to help you access some of the special functions within the database driven areas of the Platform. Once you leave our Platform, these cookies expire. Cookies do not collect personal identifying information about the user.

Information Storage and Security

3.1.   All the information that we collect from You during your usage of Signeasy is stored on Amazon Web Services’ (“AWS”) servers across the world. We access the information on the cloud. AWS uses globally accepted standards for ensuring and maintaining the protection, security, confidentiality, and privacy of all data on its servers.

3.2.   We store your PII only for as long as you have an account with us, as this is necessary to continue providing you with the services. If at any time you deactivate/delete your account, we ensure that all PII pertaining to you is deleted from our servers. We will also make commercially reasonable best efforts to ensure that our third-party service providers delete your PII from their servers/storage.

3.3.   We work hard to protect You from unauthorized access to or unauthorized alteration, disclosure or destruction of any information we hold. Pursuant to the same, we have implemented globally accepted standards and procedures to maintain ongoing data protection and privacy by ensuring the following:

  • (a) The encryption of our services and all PII using secure server software, which is among the best software available today for secure transactions.
  • (b) The pseudonymization of all data collected by us, by ensuring that all PII is kept/stored separately from all the remaining information, to ensure that the remaining data cannot be attributed to an identified or identifiable natural person, unless actively merged or joined with the PII;
  • (c)  The constant review of our information collection, storage and processing practices, including this ToS, PP, and the physical security measures to guard against unauthorized access to systems;
  • (d)  The constant upgradation and/or alteration of our policies as may be necessary to ensure the ongoing confidentiality, protection, privacy, security, and accessibility of all data and systems;
  • (e)  Limiting the disclosure of PII to Our employees, independent contractors including vendors, affiliates, consultants, business associates, service providers and distributors of Our services, only on a “need-to-know” basis, and only if the disclosure will enable that person/entity to provide Us with business, professional, or technical support or fulfill Your request and requirements under the services.

Information Storage and Security

4.1.   In addition to any third-party service providers who, subject to your prior consent, we may share your information and/or your PII with (as is captured under point 6 of the ToS), we may disclose any information provided by You on the Platform as may be deemed to be necessary or appropriate: (a) under applicable law, including laws outside Your country of residence; (b) to comply with legal process; (c) to respond to requests from public and government authorities including public and government authorities outside Your country of residence; (d) to enforce Our Terms of Use; or (e) to allow Us to pursue available remedies or limit the damages that We may sustain.

4.2.   By agreeing to this PP, you also explicitly understand and consent to the fact that we may share your PII with other corporate entities and affiliates only for the purposes of:

  • (a) Using their assistance to detect and prevent identity theft, fraud and other potentially illegal acts; or
  • (b) Correlating related or multiple accounts to prevent abuse of Our services; and

Rights available to you

5.1.   Once you start using our services, you will have the right, at any time, to require us to do any of the following with respect to your PII:

  • (a) Delete/erase all PII pertaining to your that we may have on our systems. This includes deleting your account and all PII that we may have pertaining to you in the Data Trail. This provision will not apply to any data or PII that we may need to retain pursuant to any applicable law or any request/requirement of a public/government body, whether in your country of residence or not;
  • (b) Rectify, modify, or alter any of your PII, if you have identified any mistake, error or inaccuracy in the same. This also covers situations where, for example, you have started using a new/different email account for the purposes of signing in to Signeasy.
  • (c) Export and provide you with a copy of all your data, including your PII, that we may have on our servers. This includes all data and server logs pertaining to your activities and behaviour on the Platform as well.

5.2.   Your California Privacy Rights - If you are a California resident, you also have the following rights with respect to information that we hold about you.

  • (a) Right to access: You have the right to access (and obtain a copy of, if required) the categories of personal information that we hold about you, including the information's source, purpose and period of processing, and the persons to whom the information is shared.
  • (b) Right to rectification: You have the right to update the information we hold about you or to rectify any inaccuracies. Based on the purpose for which we use your information, you can instruct us to add supplemental information about you to our database.
  • (c) Right to erasure: You have the right to request that we delete your personal information in certain circumstances, such as when it is no longer necessary for the purpose for which it was originally collected.
  • (d) Right to restriction of processing: You may also have the right to request to restrict the use of your information in certain circumstances, such as when you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.
  • (e) Right to data portability: You have the right to transfer your information to a third party in a structured, commonly used,` and machine-readable format, in circumstances where the information is processed with your consent or by automated means.
  • (f) Right to object: You have the right to object to the use of your information in certain circumstances, such as the use of your personal information for direct marketing.

5.3.   We will make all commercially reasonable best efforts to comply with all of the above requests (when received) as soon as possible. If you wish to exercise any of your above rights, kindly send an email to [email protected].

  • (a)  Only you, or an agent authorized to make a request on your behalf, may make a request related to your personal information.
  • (b) We cannot respond to your request if: (i) we cannot verify your identity; or (ii) your request lacks sufficient details to help us handle the request. Any information we provide will only cover the 12-month period preceding the request's receipt.
  • (c) We do not charge a fee to process or respond to your request unless it is excessive, repetitive, or manifestly unfounded. If we determine that the request warrants a fee, we will tell you why we made that decision and provide you with a cost estimate before completing your request. We are not obligated to provide responses to your data requests more than twice in a 12-month period.

Change in Privacy Policy

6.1.   You acknowledge that becoming a member of Signeasy signifies your assent to this PP. In the event there are any changes to this PP or in the way we treat your PII, we shall intimate you of the same via email at least 1 week prior to the enforcement of such change. We will also display a notice on the Platform regarding the above. If after your receipt of a notice of change to the ToS or PP you do not object to the same and/or continue to use Signeasy and the services, you will be assumed to have provided your consent to the changes.


7.1.   As stated previously, we provide all Users with the option and choice of opting-out of receiving certain third-party services and/or the Signeasy in general, at any time.

9.1.   We shall not be liable for any loss or damage sustained by reason of any disclosure (inadvertent or otherwise) of any information concerning You, if the same is either (a) required under point 4.1 above; or (b) was effected through no fault, act, or omission of the Company.

9.2.   We are free to offer our services to any client/prospective client without restriction.

9.3.  By registering or by using the Platform, you explicitly accept, without limitation or qualification, the collection, use and transfer of your PII in the manner described herein.
