East End Disability Associates (EEDA) is a Long Island-based healthcare and social services organization that supports individuals with intellectual and developmental disabilities. Its services include residential care, community habilitation, crisis intervention, and self-directed support, where individuals and their families manage their own care budgets and staff.
As part of its day-to-day operations, EEDA processes hundreds of documents every month—from employment contracts and onboarding paperwork to service agreements, statements of work, invoices, and contractor agreements. Two teams rely heavily on these documents: HR, which manages hiring and onboarding, and the self-direction team, which works closely with individuals and families to manage ongoing care, staffing, and service changes.
Supporting these teams is Dan Bogan, EEDA's IT Manager, who oversees the systems that keep these critical workflows running securely and efficiently.
As EEDA grew, managing contracts through individual inboxes became increasingly difficult. Every document was tied to the person who had sent it. If that employee was unavailable, no one else could easily see where the document was, whether it had been signed, or what action was needed next.
The problem was especially visible in the self-direction team, where coordinators regularly send service agreements, statements of work, medication updates, and other documents requiring signatures from families and caregivers. The same challenge affected HR. Background checks and onboarding documents often landed in Dan's inbox, making him the only person who could confirm whether hiring paperwork had been completed. When he was unavailable, onboarding slowed because the rest of the team couldn't access the information they needed.
The lack of visibility also created an administrative burden. Without a shared view of document status, employees constantly emailed one another asking whether documents had been sent, signed, or were still waiting for action. EEDA also standardized its most frequently used documents using reusable templates. Instead of recreating employment agreements and service contracts every time, staff could begin with approved templates and simply fill in the information unique to each agreement.
Document preparation time dropped from around 10 minutes to just three minutes per contract, creating significant time savings across hundreds of documents each month.
