How Bespoke Labs onboards experts in minutes with Signeasy
Company overview
Bespoke Labs is an AI lab based in Mountain View, California, building reinforcement-learning environments for AI agents. The team creates simulated tasks and scenarios where agents can interact, fail, and improve their accuracy, with models trained inside these simulation environments.
The team relies on in-house engineers and a pool of contracted subject-matter experts, onboarding 50 to 60 experts weekly. As operations scaled and the company prioritized SOC 2 compliance, managing the required paperwork grew increasingly complex.
The challenge
Scaling a document-heavy onboarding process
Initially, experts only signed a standard statement of work via Bespoke Labs's contractor-management platform. As Bespoke Labs grew and targeted compliance standards like SOC 2, NDAs, IP agreements, and confidentiality agreements became mandatory for all.
The existing platform could only send standard SOWs, forcing the team to manually manage all additional documents for 50 to 60 new experts being onboarded weekly.
Access management was tracked in spreadsheets, which made pausing or offboarding an expert an added overhead for a team whose bandwidth was limited.
Between the manual handoffs, status checks, and access management, the cost showed up directly in the team's hours.

The solution
An eSignature workflow that can be embedded in existing tools
Bespoke Labs’s team initially evaluated several well-known eSignature tools, but none fit what their onboarding process needed. They wanted to embed signatures directly inside their HRMS platform, set up the process with the right guardrails, and handle the additional compliance documents required for onboarding. Signeasy worked with these requirements and got the setup in place collaboratively.
A solution that worked well with the existing processes
The deciding factor wasn’t simply the ability to collect a signature. Bespoke Labs needed an eSignature solution that could run from inside its internal HRMS and compliance systems, so the team could trigger signing directly from these tools instead of handling it as a separate manual step.
Finding the right fit
The team discovered Signeasy as a way to embed document workflows directly into Bespoke Labs's internal platform. After starting with bulk send on a SaaS plan and testing a custom Google Sheets integration, the team ultimately adopted the Signeasy API as their permanent solution.
Thorough API documentation that was easy to follow
Getting started was straightforward. Bespoke Labs’ development team found the API documentation thorough and detailed enough to move independently, without needing much outside help.
Support that was reliable
Where manual configuration was needed, Signeasy's team stepped in immediately to help figure out the best way forward.

The impact
From manual work to time-saving automations
Once the API was embedded into Bespoke Labs's internal platform, the efficiency in the onboarding process was seen immediately in the team's week.
Onboarding was cut from 8 hours to 5 minutes
Previously, manual onboarding took 5 to 8 hours weekly for 50 to 60 experts (6 to 8 minutes per expert). With the Signeasy API, onboarding an entire weekly batch takes just 3 to 4 minutes. That’s 100x faster. Documents are automatically mapped, sent, and tracked, while signing statuses sync directly back to the platform via webhooks.
Team’s bandwidth freed up
Nobody needs to be dedicated to managing the onboarding process by email, chasing signature statuses, or coordinating access anymore. A lot of manual steps have been eliminated, freeing the team up for more high touch work during onboarding.
Higher completion rates and reliable delivery
Signeasy's signing flow is a simple, two-step process, and it consistently gets completed first, ahead of the other onboarding steps that the expert needs to complete on the internal platform. And every document in the multistep process always reaches the signers on time.
What’s next: Expanding contract operations across departments
Bespoke Labs is now looking at contract management more broadly, with the goal of simplifying how contracts work inside its own systems. The team plans to automate more manual processes across departments, and it is exploring Signeasy’s collaboration features.
