While every dealership operates independently, HR and leasing teams work together to manage a steady flow of offer letters, employment contracts, leasing agreements, purchase agreements, and other business-critical documents. HR supports hiring and onboarding across the group, while leasing manages customer agreements, renewals, and contract follow-ups after a vehicle is sold.
Overseeing the technology that supports these operations is Marcin Freyberg, Vice President of Human Resources and IT, whose goal was to simplify document workflows without disrupting the way teams already worked.
As Policaro expanded, contract management became increasingly fragmented. Each dealership managed its own paperwork, and once a document was signed, someone had to manually organize and file it in the correct branch folder. The process relied entirely on employees remembering where every document belonged, creating unnecessary administrative work and leaving room for delays.
HR felt the impact every time a new employee was hired. Offer letters had to be manually sorted, tracked, and filed for each dealership, while leasing teams managed a constant flow of customer contracts that required ongoing monitoring for signatures, renewals, and follow-ups.
There was also no shared visibility into where contracts stood. If someone needed to know whether a document had been signed or was still waiting for action, the only option was to ask the person managing it. Across multiple dealerships and teams, those interruptions added up quickly.
The technology itself also created friction. Policaro had been using Docusign, but the team found it unnecessarily complex for everyday contract management. Preparing contracts took around 30 minutes before they could even be sent, and unsigned contracts often required up to two hours of manual follow-up before they were completed and filed.
Across approximately 35 contracts every month, what should have been a routine administrative task consumed nearly 90 hours of work.

As part of its day-to-day operations, EEDA processes hundreds of documents every month—from employment contracts and onboarding paperwork to service agreements, statements of work, invoices, and contractor agreements. As EEDA grew, managing contracts through individual inboxes became increasingly difficult. Every document was tied to the person who had sent it. If that employee was unavailable, no one else could easily see where the document was, whether it had been signed, or what action was needed next.
The problem was especially visible in the self-direction team, where coordinators regularly send service agreements, statements of work, medication updates, and other documents requiring signatures from families and caregivers. If a coordinator was away, pending paperwork often sat untouched until they returned because no one else had visibility into its status.

The same challenge affected HR. Background checks and onboarding documents often landed in Dan's inbox, making him the only person who could confirm whether hiring paperwork had been completed. When he was unavailable, onboarding slowed because the rest of the team couldn't access the information they needed.
The lack of visibility also created an administrative burden. “SOHAR Port and Freezone administrate over the Port and the Freezone areas. We provide the infrastructure and services required for industrial companies to maintain their operation. So basically, we act as both landlord and port administration.” says Said Al Mamari, IT Applications Officer.
Operations are diverse and rely heavily on detailed contracts and paperwork across all departments, from HR to IT to Procurement. It includes everything from logistical support to rental agreements to hiring employees. Keeping these documents in order is crucial for smooth and efficient operations at the port.
In an insightful discussion, Said Al Mamari, IT Applications Officer at Sohar Port and Freezone, shared the company’s digitization journey with Signeasy.
Contract management at SOHAR Port and Freezone heavily relied on a manual, paper-based approach. Documents had to be printed, physically signed, and then scanned and emailed or couriered to relevant stakeholders.
This process was time-consuming and vulnerable to security breaches. Physical documents could be lost, damaged, or accessed by unauthorized individuals.
Document tracking was another significant challenge. Since signatures had to be collected in person and parties spread between Sohar City and Muscat— a three-hour drive apart—tracking documents was difficult. As a result, processing documents could take anywhere from several days to weeks.
The onset of the COVID-19 pandemic highlighted the system's inefficiencies, as the shift to remote work made the traditional paper-based and in-person processes impractical. “If we go back to the Corona situation, everybody was working from home, so we needed a solution to continue our operations. We cannot stop at that time,” recalls Said Al Mamari.
The manual nature of the processes increased the likelihood of human errors. Misplaced or misfiled documents and mistakes in paperwork forced starting the process over, wasting valuable time, frustrating staff, and hindering the port’s operational efficiency.
